REQUIREMENTS

Educational Requirements:

  • A degree from any accredited university or field

Experience:

  • No experience required

Customer Service Skills:

  • Excellent customer service skills are essential. Candidates should be able to greet customers professionally, handle inquiries and issues, and ensure a positive customer experience.

Communication Skills:

  • Strong verbal and written communication skills .

Multitasking Abilities:

  • Have ability to handle multiple tasks simultaneously, so candidates should demonstrate good multitasking abilities.

Problem-Solving Skills:

  • Candidates should be able to handle customer complaints and issues effectively, sometimes involving conflict resolution.

Organizational Skills:

  • They should be organized in managing appointments, schedules, and administrative tasks.

Computer Skills:

  • Proficiency in basic computer software (e.g., Microsoft Office and excel ) is required. Knowledge of specific industry-related software may be a plus.

 

ROLES & RESPONSIBILITIES OF FRONT DESK STAFF

  1. Greeting and Welcoming:
    • Greet and welcome customers, clients, or guests in a friendly and professional manner.
    • Provide a positive first impression of the studio.
  2. Customer Service:
    • Assist clients with their inquiries, requests, or issues.
    • Provide information, answer questions, and offer guidance as needed.
  3. Appointment Scheduling (
    • Schedule and manage appointments for clients.
    • Confirm and reschedule appointments as necessary.
  4. Phone and Email Communication:
    • Answer and manage phone calls and emails.
    • Direct inquiries to the appropriate person or department.
  5. Information and Directions:
    • Provide directions, maps, and information about the studio facilities and services.
  6. Handling Payments and Invoicing:
    • Process payments for services.
    • Issue invoices and receipts when necessary.
  7. Security and Access Control:
    • Monitor and control access to the premises or specific areas within the organization.
    • Ensure the safety and security of the premises and its occupants.
  8. Resolving Issues and Complaints:
    • Address and resolve customer complaints or issues.
    • Escalate more complex problems to management if necessary.
  9. Administrative Tasks:
    • Perform various administrative duties, such as filing, data entry, and record-keeping.
  10. Cash Handling
    • Manage studio cash, reconcile the cash drawer, and follow financial procedures accurately.
  11. Maintaining a Clean and Organized Workspace:
    • Ensure that the front desk area is clean, organized, and presentable.
  12. Multitasking:
    • Handle multiple tasks and customers simultaneously, especially during busy periods.
  13. Adhering to Policies and Procedures:
    • Follow the organization’s policies and procedures for handling client interactions and maintaining security.
  14. Conflict Resolution:
    • De-escalate tense situations and handle conflicts calmly and professionally.
